How to Create Org Charts in Dia

Dia Diagram Editor is a free, open-source project by the GNOME community. This site is an independent community resource — we are not affiliated with the GNOME Dia project.

Organization charts are one of Visio’s headline use cases — and you can build clean ones in Dia for free. One honest note up front: Dia has no one-click org chart wizard. You lay out boxes and connectors manually, which takes a few minutes but gives you full control. This guide shows the fastest manual method.

What you’ll use

  • Plain Box objects (Assorted sheet) — one per person/role
  • Line or Zigzag line connectors for reporting lines
  • View → Snap to Grid — the secret to a professional look

Step-by-step: build the chart

1. Set up the grid

Turn on View → Snap to Grid before placing anything. Aligned boxes are 90% of what makes an org chart look professional.

2. Place the top box

Drag a Box, double-click, type the title and name on separate lines, e.g.
CEO
Jane Smith
. Keep every box the same size — draw one, then copy-paste it.

3. Add each level

Paste boxes for direct reports in a row beneath, then connect each to its manager with a vertical line. For the classic look, use a horizontal “bus” line under the manager with vertical drops to each report: draw one horizontal line, then short vertical connectors from it to each box.

4. Keep it tidy as it grows

  • One chart per department once you pass ~20 boxes — link sub-charts instead of cramming.
  • Use Layers (layers guide) to separate the chart from annotations like headcount numbers.
  • Color-code by department with box fill colors (right-click → Properties).

5. Export for sharing

File → Export to PDF for the handbook or PNG for slides. Wide charts export best as PDF or SVG — see our export guide.

Tip: Select a whole row of boxes and use right-click alignment to distribute them evenly. Five seconds, perfectly even spacing.

When Dia isn’t the fastest choice

If you need auto-layout from a spreadsheet (paste 200 names, get a chart), Dia’s manual approach will feel slow — that’s genuinely what tools like Creately’s org chart importer are built for (Creately). For charts you update a few times a year, Dia is free and perfectly fine.

FAQ

Is there an org chart template in Dia?

No built-in template or wizard. The manual box-and-connector method in this guide is the standard approach.

Can I import an employee list to auto-generate the chart?

Not in Dia — there’s no CSV import for org charts. For that workflow you need a dedicated tool; see the Creately note above.

How do I show dotted-line (matrix) reporting?

Use a dashed connector style (right-click the line → Properties → line style) for secondary reporting lines. Add a small legend explaining solid vs dashed.

How many levels fit on one page?

Comfortably 3–4 levels on A4/Letter landscape. Beyond that, split by department — see step 4.

Can I collaborate on the chart with HR?

Dia files are single-user desktop files. Share via exported PDF, or keep the .dia in a shared drive with a “one editor at a time” rule.
